1. Introduction
Peak Social ("Peak Social," "we," "us," or "our") operates an internal tool used solely by our own team to verify that scheduled social media posts have been published successfully to the Facebook Pages and Instagram accounts we manage on behalf of our clients (the "Tool"). The Tool is not available to the public and is not offered to clients or any third party as a standalone product.
This Privacy Policy explains what information the Tool accesses via the Meta Graph API, how that information is used, and how it is protected, in line with the requirements of Meta Platforms, Inc. ("Meta") for apps that connect to Facebook and Instagram.
2. Information We Access
The Tool is used exclusively by authorized Peak Social team members. In the course of operating it, we access:
- Login credentials for our internal team members' access to the Tool.
- Post content and metadata (captions, media, scheduled time, publish status) for the Pages and Instagram accounts we manage.
- Basic technical logs (timestamps, request status) generated when the Tool checks post status via the Graph API.
The Tool does not collect information from members of the public, and it is not connected to end-user-facing forms, sign-ups, or marketing pages.
3. Data From Facebook & Meta Platforms
The Tool connects to Facebook and Instagram via the Meta Graph API using a System User access token belonging to Peak Social. It accesses only the data needed to confirm a scheduled post published correctly:
- Page and Instagram account IDs for the accounts Peak Social manages.
- Post ID, publish status, and publish timestamp for scheduled content.
- Error responses returned by the Graph API when a post fails to publish.
The Tool is read-focused: it checks whether posts (published through our separate scheduling workflows) went live as expected. It does not collect data from the public, does not use Facebook Login for third-party users, and does not use Meta data for advertising or profiling.
4. How We Use This Information
- To confirm scheduled posts were published successfully to the correct Page or Instagram account.
- To flag and troubleshoot failed or delayed posts internally.
- To maintain accurate internal records of posting activity for client accounts we manage.
6. Data Retention
Post-status data (publish confirmations, error logs) accessed via the Graph API is retained only as long as needed for internal record-keeping and troubleshooting, generally no longer than [e.g. 90 days], after which it is deleted or overwritten. We do not retain public user data, because the Tool does not interact with the public.
7. Data Deletion
Because the Tool is internal and does not process data belonging to members of the public, there is no general public-facing deletion request flow. Any client wishing to have their Page or Instagram disconnected from the Tool, or their related post-status records removed, can contact us directly:
Email info@peaksocial.com.au with the subject line "Data Deletion Request." We will action removal within [e.g. 30 days], except where retention is required by law.

8. Access Controls
Access to the Tool is restricted to authorized Peak Social team members and is not extended to clients or the public. Access is granted and revoked by Peak Social's owners (Luke Clarke and Hayden Reiha) as team membership changes.
9. Security
We use industry-standard safeguards (including encrypted storage of Meta access tokens, restricted network access, and internal-only credentials) to protect the data the Tool accesses. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children's Privacy
The Tool is an internal business system and is not directed at, or accessible by, children. It does not knowingly collect data from anyone under 18.
11. Changes to This Policy
We may update this Privacy Policy from time to time, including as the Tool's functionality or the Meta permissions it uses change. The "Last updated" date at the top of this page reflects the most recent revision.
